Workspaces and team access

One workspace per organisation, isolated from every other. How to invite colleagues, what each access level can do, and how to remove someone.

Everything you run lives in a workspace. Studies, documents, citations, deliverables and the audit chain all belong to it, and are isolated from every other tenant on the platform.

Adding a colleague takes an email address. Access is per workspace, not per study — someone you invite can see the workspace’s studies, at the level you granted.

What a workspace holds#

  • Your studies and their assessments, including every historic run.
  • The documents you uploaded, indexed for retrieval within the workspace only.
  • Role workspaces, their tasks, and the deliverables they have drafted.
  • The audit chain, including every sign-off given in the workspace.

Isolation is per tenant: your runs, citations and audit chain are not visible to, or mixed with, any other customer’s.

Inviting colleagues#

  1. Open the team settings

    Workspace settings has a Team section listing current members and any pending invitations. Managing members is an admin action.

  2. Invite by email

    Enter the colleague’s email address and choose their access level. They receive an invitation link.

  3. They accept and sign up

    Accepting the invitation joins them to your workspace rather than creating a new, empty one.

If outbound email is not configured on your deployment, the invitation link is shown to the admin to pass on directly, so an invite is never silently lost to a mail problem.

Access levels#

The three workspace access levels.

These are access levels, and they are separate from the seven expert roles. Expert roles are workspaces inside the product; access levels decide what a person may do in your tenant.

Changing or removing access#

  • An admin can change a member’s access level at any time.
  • A pending invitation can be revoked before it is accepted.
  • Removing someone ends their access to the workspace. It does not remove their signatures from the audit record — a Part 11 record is append-only by design, and a signature that could be erased when someone left would be worthless.
